Online Booking Terms and Conditions

The terms and conditions detailed below apply to all bookings made with Macdonald Hotels, whether at www.Macdonaldhotels.co.uk via the individual hotel websites or by telephone or otherwise. Please note that for promotional bookings the relevant additional terms and conditions should be consulted.

When you make a booking, your contract (which shall include these terms and conditions) will be with Macdonald Hotels, which shall mean in these terms and conditions Macdonald Hotels and Resorts Limited, Whiteside House, Bathgate,West Lothian, EH48 2RX.

Dinner reservations, Spa treatments, and Golf tee off times cannot be guaranteed on line. If your booking includes dinner, please contact the hotel direct to book your slot prior to completion of your online booking. Please note that the price being offered currently can not be guaranteed should you not complete your booking at this stage.

All rates featured on the Macdonald Website or quoted by telephone or otherwise are offered subject to availability and Macdonald Hotels reserves the right to refuse any booking for good reason.

Macdonald Hotels & Resorts offer a choice of room only, bed and breakfast or dinner, bed and breakfast rates. All prices are subject to availability.

PRICING
We offer a full range of packages and pricing, as detailed below. Our packages and pricing will fluctuate depending on availability and demand at any given time. All prices are subject to change without notice. Prices are subject to availability and are inclusive of VAT at the current prevailing rate. Your price is guaranteed once you have been given a confirmation number.

ADVANCE PURCHASE RATES
In general, our Advance Purchase rates are available 7 days or more before the date of arrival (exceptions may apply to select hotels), and are fully prepaid at time of booking. Advance Purchase Rates are non refundable and non transferable. The credit/debit card used to book the Advance Purchase rate must be presented to reception on arrival at the hotel. Please note that failure to do so will result in an alternative payment method being required.

BEST FLEXIBLE RATES
In general, our Best Flexible Rates are available until the day of arrival. These rates allow you to alter or cancel your booking up until 2pm on the day of arrival without charge. Cancellations made after 2pm on the day of arrival will incur a one night's room charge.

PROMOTION & PARTNERSHIP RATES
These rates will require a promotion code. Separate terms and conditions may apply which will take precedence over these standard booking terms and conditions.

For the avoidance of doubt, your price does not include any incidental charges which you may incur during your stay (including, by way of example only, in respect of your use of the hotel's bar and mini-bar facilities and the costs of external telephone calls from your room). Such charges will be payable by you on your departure and, in the event that you fail to pay any such incidental charges, it is a condition of your contract with Macdonald Hotels & Resorts that you irrevocably authorise Macdonald Hotels Group to debit your credit or debit card (see 'Deposits and Pre-payments' below) for the amount of any shortfall.

WHAT THE PRICE INCLUDES
Prices for breaks include twin or double bedrooms (single room for single guests) with colour TV, direct dial telephone and private en-suite bathroom. Our bed and breakfast and dinner, bed and breakfast inclusive rates incorporate a saving on our standard hotel prices.

AVAILABILITY
During major sporting events, social events, conference and exhibitions certain rates may not be available. Certain dates may be subject to a minimum length of stay. All rates are subject to availability.

MACDONALD AVIEMORE RESORT
For operational reasons, it may be that all four hotels within the Macdonald Aviemore Resort will not be open and guests may have to be moved to another Hotel within the resort. Where this is the case, such move shall only be to a room of at least an equivalent standard.

EXECUTIVE & FEATURE ROOMS
Executive, Feature, Four Poster Rooms and Suites may be available at a supplement per night. Generally these rooms offer more space and a selection of superior amenities and toiletries. Family rooms may be available. Please ask for details at time of booking.

SINGLE GUESTS
Individual guests using a single room (where available) may benefit from a reduced rate at selected hotels. When no single room is available, individual guests may book a double or twin room for sole occupancy. These rooms may carry a supplement at select hotels. Please ask at the time of booking.

CHILDREN
Children under the age of five can stay and eat free at any of our hotels, when sharing a room with two paying adults on the same meal basis. Children from the ages of 5 to 12 years will be charged at £12.50 per child per night where the adults are staying on Best Flexible Bed and Breakfast or Dinner Bed and Breakfast Rates or £11.00 per child where the adults are staying on Advance Purchase Bed and Breakfast or Dinner Bed and Breakfast Rates (this covers the cost of bed & breakfast only and all other child meals will be charged for as taken), when sharing a room with two paying adults where a suitable room is available. Availability of suitable rooms is limited and portable beds may need to be used where such accommodation is sought. The hotel concerned will determine whether a room is suitable for the purpose of this offer. Feature rooms are excluded from this offer. Children staying in their own room will be charged 100% of the full adult rate paid by the accompanying adults.

GUESTS WITH IMPAIRED MOBILITY
A number of our hotels offer modified facilities for guests with impaired mobility. Others, whilst not having special facilities, have mainly level access to public areas and accessible bathrooms. Guests with impaired mobility or other particular requirements should check with their chosen hotel in advance that their requirements can be met. Please call the hotel direct for details.

DOGS
A number of our hotels are able to accommodate dogs, at the manager's discretion, in some cases for an extra charge. Policy and prices are different in each hotel across the group. Please call the hotel direct for details.

CAR PARKING
Car parking is free at most of our hotels, but at some hotels is chargeable and/or there is limited availability. For further information on parking availability and charges, please check the Useful Information page for your chosen hotel.

CHECKING IN AND OUT

ARRIVAL AND DEPARTURE
Hotel rooms are available from 2pm on the day of arrival. Rooms must be vacated by 11am on the day of departure, unless otherwise sanctioned at the discretion of the hotel manager. For certain of our hotels, these times may differ. 

MEAL ARRANGEMENTS
Rates which include breakfast offer a full traditional or continental breakfast with tea or coffee, unless stated otherwise. Rates which include dinner offer a choice from the hotel's table d'hôte menu. Where a hotel does not offer a table d'hôte menu, an allowance (which varies from hotel to hotel) is allocated towards dining from the à la carte menu. There is no refund for meals which are not taken by guests and lunch cannot be taken in place of dinner.

HEALTH, LEISURE AND WELLBEING
Many of our hotels have excellent leisure and spa facilities such as a swimming pool, steam room, sauna and spa pool (the availability and range of facilities varies from hotel to hotel).

Please check online for the range of facilities at your chosen hotel. A charge will be made for the use of certain facilities, such as spa treatments and exercise classes. Your use of such facilities is subject to any particular terms and conditions applying at the hotel at which you have placed your booking.

Under 16's are not permitted to use the gym or any of our thermal suites. They must be accompanied by a responsible adult at all times when using any other available leisure facility. Under 8's are not permitted to use the spa pools, saunas and steam rooms. In some instances children splash times may be restricted, please check the Spa & Fitness website page of your chosen hotel for more information.

BOOKING INFORMATION

Our Central Reservations Team is available to take your booking seven days a week from 8.30am to 9.00pm Monday to Friday and 9.00am to 5.00pm Saturday and Sunday.

When you make your booking you will be asked to guarantee your booking with a valid debit/credit card if booked on Best Flexible Rate, or to prepay if booked on our Advance Purchase Rates, partnership or promotional rates.

GROUP BOOKING
A booking of eight rooms or more is classified as a group and is subject to our Group Terms & Conditions of business, which differ from our Best Available and Advance Purchase rates. Please contact Central Reservations for further details.

BALANCE OF MONIES OUTSTANDING

Prior to your departure from the hotel you will be required to settle your bill.
On arrival you will be asked to produce a valid credit card for the hotel to take pre-authorisation. If you are settling your account in cash or with a debit card, you will be asked for a deposit to cover the cost of your room for your stay (any extras which you may incur in the hotel will not be chargeable to your room account). Macdonald Hotels & Resorts accept all major credit cards, including MasterCard, Visa and American Express.

Alternatively, payment can be made by cheque supported by a current cheque guarantee card. The credit/debit card used to book the Advance Purchase rate must be presented to reception on arrival at the hotel.

GIFT VOUCHERS

Macdonald Hotels & Resorts gift vouchers should be presented on check-in, when paying for your meal or on arrival at our Spas or Vital Clubs. 

CREDIT CARD TRANSACTIONS
Credit card transactions completed at the hotel will have an administration surcharge of £3.00 added to the total bill. 

CANCELLATION & AMENDMENTS
All cancellations are made in accordance with the cancellation terms of the rate booked.

Advance Purchase Rates are non refundable and non transferable and full pre-payment will be forfeited.

Best Flexible Rates may be cancelled up until 2pm on the date of arrival without charge, after which a charge for the first night's accommodation shall be payable. This is with the exception of Macdonald Rusacks Hotel (may be cancelled up until 72 hours prior to the day of arrival without charge after which a charge for the first night's accommodation shall be payable) and Macdonald Bath Spa Hotel & Spa (may be cancelled up until 2pm on the day prior to the date of arrival without charge after which a charge for the first night's accommodation shall be payable.)

Promotion and Partnership rates may only be cancelled in accordance with the specific terms applying to that rate which will be advised at the time of booking.

A cancellation number must be obtained to ensure that minimum charges are levied.

Whilst every effort is made to fulfil any particular requests which you may make in relation to your stay with us, please note that these requests do not form part of our contract and we cannot guarantee that we will be able to meet any particular requests.

In the unlikely event that we have to change or cancel your reservation,
we reserve the right to do so. However, you have the right to:

  • accept the changed arrangements as notified; or
  • make alternative arrangements with Macdonald Hotels & Resorts; or
  • cancel your reservation and receive a full refund of any monies which you have paid to Macdonald Hotels & Resorts in respect of your reservation (please note that we shall not be liable for any sums which you have paid to any other persons in connection with your reservation).

For the avoidance of doubt, we shall have no further liability to you for
any changes to or the cancellation of any stay with us.

COMPLAINTS OR COMMENTS
Any complaint or comment regarding a stay at one of our hotels should be made in the first instance to the hotel's duty manager at the time of your stay so that it can be resolved at the time.

Problems which cannot be resolved there and then should be notified in writing to Customer Services, c/o Bobsleigh Hotel, Hempstead Road, Bovingdon, Hertfordshire, HP3 0DS.

GENERAL INFORMATION
Although every effort has been made to ensure the accuracy of the information set out on our websites and marketing campaigns, we cannot accept responsibility for any errors or omissions, and reserve the right to vary, amend, supplement or cancel any of the information or offers featured on our websites or email campaigns or otherwise at any time.

All details are correct at time of going to print, however may be subject to change from time to time.

Macdonald Hotels & Resorts shall not be responsible for any loss or damage which you may suffer arising out of events beyond its control or the control of its suppliers (including, without limitation, fire, failure of electrical, gas or other power supplies, strikes, industrial action, terrorist activity, technical problems with transport, illness of entertainers and bad weather), nor for any curtailment, cancellation or change to any accommodation, activity or itinerary or any other consequences which arise as a result of such events.

For the avoidance of doubt, nothing in these terms and conditions shall operate to attempt to exclude or limit Macdonald Hotels & Resorts' liability for the death or personal injury of any person caused by the negligence of Macdonald Hotels & Resorts or its employees, servants or agents or to attempt to exclude or limit Macdonald Hotels & Resorts' liability in any manner which would be unlawful.

These terms and conditions shall be subject to the laws of the jurisdiction in which the hotel for which you make your booking is situated.
